Post Submission: Just In Time (JIT)
What is Just-in-Time?
If a reviewed NIH grant is considered for funding, the NIH will send a Just-in-Time ("JIT") pre-award request to the PI. The JIT procedure allows for specific application components to be shared only when the reviewed grant is being considered for funding.
The items requested at Just-in-Time typically include:
- Other Support for senior/key personnel (Click here for updated Other Support Guidelines)
-
IRB approval, if using human subjects
-
IACUC approval, if using vertebrate animals
- Proof of human subjects research training for personnel
These additional items may also be requested depending on the type of application submitted:
- Human Embryonic Stem Cell (hESC) lines, if not already identified in application
- Genomic Data Sharing Institutional Certification
- Small Business Innovation Research (SBIR) Funding Agreement Certification
- Small Business Technology Transfer (STTR) Funding Agreement Certification
- My Bibliography Report of Publications (for renewal applicants to research training programs)
- Possible updated budget or edits to the human/animal subjects application components
When are Just-in-Time Requests Submitted?
PIs with applications with an impact score of 30 or less receive an automated email from the NIH requesting JIT information. It is important to note that receipt of the automated email does not guarantee funding, and it also does not mean that JIT information should be submitted to the NIH at that time. Grant administrators may begin to internally compile JIT information depending on the PI's impact score, but JIT requirements should not be submitted to the NIH yet.
A specific request, often from a Grants Management Specialist or Program Officer, will be sent when JIT information should be submitted. At this time, the grants administrator will be alerted that the NIH officially requested JIT materials as well as the deadline.
How are Just-in-Time Materials Sent to the NIH?
A Just-in-Time eSPAR (under "Post-Proposal Requests") should be created for all JIT materials. Once they are uploaded to the eSPAR and approvals are obtained, the eSPAR should be sent to SOMOGC for review and submission.
SOMOGC submits JIT materials to the NIH through eRA Commons.
