REDCap at UVA

REDCap (Research Electronic Data Capture) is a secure web application developed by Vanderbilt for building and managing online surveys and databases for clinical research. Although REDCap was originally developed for clinical research, its use has expanded to include operation support and quality improvement purposes. REDCap can be used to collect virtually any type of data and provides a HIPAA-compliant environment. REDCap is also able to support UVA researchers by allowing them to serve as the Coordination Center for research studies. This ensures easy collaboration between research sites and data sharing.

Attention: The system is NOT 21 CFR Part 11 compliant. This means that it should NOT be used IF

• your study is FDA regulated AND the data will be submitted as part of a marketing approval application OR
• your study is FDA regulated AND the study involves eConsent

What are REDCap features and capabilities?

REDCap provides a user-friendly interface that allows users to quickly build case report forms with the ability to support features such as surveys, calendars for scheduling, longitudinal events, various levels of access for users, and more. What services does the REDCap group offer, and is there a cost?

The REDCap team offers basic services such as consultations, demos, and build guidance via appointment or during office hours (previously at the Health Sciences Library, now online (coming soon)). The team also offers dedicated development and custom programming at a full-service cost.

Build Options:

1. REDCap Full-Service Team build: Dedicated project development based on customer needs. Review the REDCap Full-Service Charge Service.

2. Customer Self build: If you are developing your own project, please ensure you read the REDCap User Guide - Production Status Requirements attachment for greater detail on the steps to place your project into production status.

You can email the REDCap group (redcap@uvahealth.org) for project build inquiry, project estimate, consultation/demo, access issues, and more. Please note: Researchers must have IRB approval, Research Protocol, Case Report Forms, and Data Use agreements for External Users, and other Contractual agreements in place before the build can begin.

Unsure if your project requires IRB review?

Use the UVA IRB Online tool (UVA Non Human Subject Research Online Tool link) to determine whether your project meets the definition of human subject research. Based on your responses, you will either be directed to submit an IRB application if meeting the criteria of human subject research, or if not human subject research, you will receive an email that confirms the new activity DOES NOT require IRB review. How can I access REDCap?

REDCap is available to anyone at UVA with a UVA Computing ID and access to the Health System Network. You can access the REDCap website in the menu to the right of this page ("VISIT WEBSITE"). REDCap is designed to be a self-service tool. Simply login with your UVA Health System Network credentials (UVA Computing ID & Password) and register. Please note, when you are logging in from outside of the UVA Health System Network, you will need to authenticate through DUO; the DUO login page will automatically appear. Once logged in select the "Training Resources" tab at the top menu to view short video tutorials or "Help & FAQ" for a reference guide organized by topic to help you get started with your project build and design. All projects are validated by the REDCap staff before being placed in Production. REDCap Access Special Case:

• UVA Academic User without UVA HS Network Access - If you are on the Academic side and do not have access to the UVA Health System Network follow the REDCap Access Guide - UVA Academic User Access PDF to request a UVA Health System Local Area Network (LAN) account to gain access to the UVA Secure Clinical Subnet.

• UVA Academic User with UVA HS Network Access - I have a UVA Health System Network Access, but I can't remember my password?

  • If your UVA Health System password has locked out or expired, please contact the UVA HIT Help Desk at 434-924-5334

• External Collaborators - How can I get REDCap access for my external collaborators?

  • External Collaborators needing access to UVA REDCap must first be setup for a UVA Health System account. This UVA HS account will give them UVA Health System credentials (ID/PW) to the UVA Health System Network. Once the account has been created the external users can access REDCap per the instructions provided in the REDCap Access Guide - Access & Training PDF.

  • The REDCap group no longer processes these requests.

Your REDCap Data

Your REDCap project data is kept secure and private. REDCap can remove identifiers from a dataset prior to exporting for analysis to create a limited dataset or a safe harbor data set. By removing the 18 pieces of information considered PHI, Protected Health Information, for the purposes of HIPAA compliance (HIPAA Patient Identifiers), you are generating a safe harbor data set; you can then share this data with collaborators more easily. Your redcap data storage and collection is guaranteed the following:

• Data stored on a secure HIPAA compliant server
• Database access requires user authentication with password
• Data access based on an individual's role on a project
• Logging and audit trails on all data interactions
• UVA IRB and UVA Information Security (Information Policy Office) approved for collection and storage of PHI including surveys

REDCap Announcements

eConsent in REDCap

The UVA REDCap Team is now providing guidance and instructions on how to build an eConsent in REDCap. The process and guidance is approved by the UVA IRB; please see the documents below. This option can NOT be used for FDA regulated studies requiring a 21 CFR Part 11 compliant system.
